Microsoft FTEs supervising direct contractors should be aware of the following procedures:
An authority to work (ATW) is required to ensure the safety of Microsoft staff, vendors, contractors and visitors that potentially could be exposed to occupational health and safety hazards. The ATW system is a formalized process to control work and access to identified areas designed to prevent incidents in the workplace.
This applies to all persons performing activities on behalf of Microsoft or any supplier company including contractors and any third parties on Microsoft demise. The Facilities Management (FM) provider will follow an independent process for their external staff and manage the isolation of hazardous energy, dust and hot works.
Local health and safety programs
Microsoft UK is compliant with ISO45001 Occupational Health & Safety Management System, which allows us to demonstrate health and safety performance by controlling occupational health and safety risks consistent with our policies and objectives.
Planning external events
To ensure that events are risk assessed and have the appropriate insurance clearance, employees arranging an external event must email contact Global OHS with the following information:
What is the name of the event?
When is the event taking place?
Where is the event taking place?
Who is organising the event?
Where is the venue?
Type of event (e.g., team morale event)?
How is your team getting to the event and home?
What activities are taking place at the event (please include a description of the activity where it is not self-explanatory)?
How many people will be in attendance?
Is the event just for FTEs or will vendors be invited?
Will alcohol be served at the event? (Refer to Alcohol H&S Guidance)
Names and details of any third-party vendors being used including:
A letter confirming insurance policies held including information on policy limits
A specific indemnity to Microsoft for the event
Safety Committee
The Safety Committee is a group of employee volunteers who work to improve health and safety in our workplace, creating a balance between our work and our work environment. The primary functions are:
- Champion safety procedures and support safety communications to employees.
- Ensure measures proposed to prevent work-related accidents and illnesses are implemented within the organization.
